Identify the stages that trigger a decision: cargo readiness, collection, departure, arrival and delivery. For each stage, specify the information required and who needs to receive it.
Organise information updates
Agree on communication channels and frequency with your contacts. Monitoring should suit the flow and the information actually available; it does not necessarily mean continuous geolocation.
Plan for exceptions
Define who should be notified of a delay, incomplete instructions or a receiving issue. Specify the information needed to make a decision and who is authorised to approve a change.
Learn from operations
At agreed intervals, review recurring exceptions and their identified causes. Distinguish one-off incidents from organisational issues. A structured review helps refine subsequent shipments.
